CANCELLATION & MODIFICATIONS POLICY
At Bits Property Rentals, we understand that circumstances may arise, leading guests to cancel their reservations. To ensure a transparent and fair process, we have established the following policy:
Cancellation of Entire Reservation Before Check-In:
- If the booking is canceled before 2:00 PM, 28 days before check-in, it is free of charge.
- Cancellations made less than 28 days but more than 14 days before check-in will incur a charge of 25% of the total reservation cost.
- Cancellations made less than 14 days before check-in will incur a charge of 50% of the total reservation cost.
Exceptions:
- Exceptions to this policy may be considered on a case-by-case basis in situations of unforeseen emergencies or extenuating circumstances.
By making a reservation with Bits Property Rentals, guests acknowledge and agree to abide by this Cancellation Policy.
RESERVATION TERMS & CONDITIONS
- A valid credit card is required to guarantee your reservation. A deposit of $100 is required upon booking to secure the reservation.
- For reservations under 30 nights, the reservation balance is due upon check-in.
- For reservations over 30 nights, the balance for the remainder of the month is due upon check-in. For example, if your check-in date is November 15th, you will be charged for November 15th through November 30th. Monthly rent will then be charged on the 1st of each month.
- An Exit Cleaning Fee of $80.00 will be charged at the end of your stay. This fee is used to clean the room following your check-out and is non-refundable.
- All prices are subject to 7% sales tax and 6% tourist tax.
If your credit card on file is declined, you will be notified by BITS via email and will have a 48-hour grace period to resolve the issue. If unresolved after the grace period, a $200 manual processing fee will be added. If payment remains unresolved beyond the additional 24 hours, we will cancel your reservation, and you must vacate by 5:00 PM that day.
- Although we take great care in how we present our accommodations online, we do not make any particular representation as to the suitability of our accommodation to your specific requirements. Should you have any specific concerns relating to hygiene, health and safety practices, or the quality of our services, or if you would like to check the specific conditions of stay, please contact us directly BEFORE the noted cancellation deadline, and we will do our best to address these.
- Other than for death or personal injury caused by our negligence or fraudulent misrepresentation, our total liability to you is limited to the price of the reservation, and in no circumstances will we be responsible for any indirect or special damages. We will not be liable to you where we have exercised reasonable care and skill in our provision of the selected accommodation services to you. We will not be liable for failure to perform to the extent that the failure is caused by any factors beyond our reasonable control, including the provision of said accommodation services. We, therefore, advise that you take out the appropriate travel insurance coverage.
CHECK IN POLICIES
- Check-In Email: Upon booking your reservation, you will receive an email with a link to your Guest Portal. In the top right corner of the portal, complete the Online Check-In Form by providing the necessary details and signing the rental agreement. Once completed, a unique access code will be generated, which will serve as your key to enter the building. This code will activate at 2:00 PM on the day your reservation begins.
- Welcome Email: Two days before your check-in, you’ll receive a welcome email with the Guest Portal link again, where you can access your information and entry code.
HOUSE RULES
*Bits Rentals reserves the right to enter the property and check the common areas at our discretion.

Common Area Cleanliness: We expect all tenants to help keep common areas tidy at all times by taking out the trash, cleaning and putting away dishes, and keeping floors and furniture clear.
- Violations:
- First violation: Friendly reminder email to all tenants.
- Second violation: $50 cleaning fee split among all tenants in the unit.
- Third violation: Final warning, with a potential for reservation cancellation if issues persist.

Kitchen Policy: To keep the kitchen organized, please label all food and items with your name. Unlabeled items are discarded bi-weekly on Mondays. Discard all kitchen items before check-out to avoid an additional $20 cleaning fee.

A/C Usage: Please avoid adjusting the thermostat below 72 degrees to prevent damage. Some units have a thermostat guard installed to help with this. Your cooperation helps maintain a comfortable environment for all.

Laundry Etiquette: Our washers and dryers are shared, so please start and finish loads promptly to ensure access for others.

Respect for Others’ Property: Please respect BITS’ property as well as the belongings of other tenants. Borrowing or using items without permission is not allowed.

No Smoking Indoors: Smoking is only permitted on outside porch areas. A $250 cleaning fee will apply if smoking occurs indoors to cover the cost of deep cleaning.

Guest Policy: Each reservation is based on single occupancy. Additional guests must be registered with BITS at least 24 hours in advance, with a $25 per night charge per guest. Unauthorized guests will incur a $100 charge per night and may lead to reservation termination.

Parking: Parking is provided for tenants only. Unregistered vehicles will be towed immediately.

Damage Responsibility: Guests are responsible for any damages caused during their stay, including any loss or damage to property. BITS reserves the right to cancel the reservation without refund for any behavior that causes a serious disturbance or nuisance to others.

Emergency Contact: For maintenance emergencies (such as A/C issues above 90°F or an active water leak), call us immediately at 561-654-4400. Non-urgent issues can be reported via call or email Monday-Friday, with a response within 24-48 hours.
CHECK OUT POLICIES
- Before check-out, shut and lock the bedroom door.
- Leave BITS provided sheets and blankets on the bed and towels in the bathroom when you checkout. If its reported or observed by BITS that our sheets, blankets, and towels were found outside of your assigned room you will be charged an additional $20 cleaning fee. If it is reported or observed by BITS rentals that our provided sheets, blankets, and towels are missing, you will be charged $150 replacement fee.
- Before checking out, it is your responsibility to clean out all personal items from your assigned room, your bathroom, common spaces, the kitchen, and anywhere else on the premises. If we find items on the premises that belong to you after checkout, you will be charged an additional $20 cleaning fee.
- From time-to-time tenants request to extend their stay due to weather. We will do everything we can to accommodate your request however this cannot be guaranteed unless secured in advance.
- Late check-out: Registered tenants may request a late check-out for an additional $20 after 11 AM for up to three additional hours, and such requests will be granted whenever possible. As a small, boutique property, we pride ourselves on taking the time to fully prepare for each new arrival; therefore, any room still occupied after 2 PM will be charged one additional night’s stay.
