RESERVATION DURATION POLICY

Please be aware of our reservation duration policy starting 01/25/2024:

  1. Maximum Stay: Reservations can only be made for a maximum of 160 nights.
  2. Exceeding Limit: Any reservation exceeding 160 nights will be automatically modified into separate reservations, each not exceeding the maximum duration.

CANCELLATION & MODIFICATIONS POLICY

At Bits Property Rentals, we understand that circumstances may arise, leading guests to modify or cancel their reservations. To ensure a transparent and fair process, we have established the following policy:

  1. Cancellation of Entire Reservation Before Check-In:
    • If the booking is canceled before 2:00 PM, 28 day(s) before check-in, it is free of charge.
    • Cancellations made less than 28 days but more than 14 days before check-in will incur a charge of 25% of the total reservation cost.
    • Cancellations made less than 14 days before check-in will incur a charge of 50% of the total reservation cost.
  2. Reservation Modification with 30 Days Notice:
    • Guests who wish to modify or shorten their reservation are required to provide at least 30 days’ notice from the date they intend to depart.
    • With a minimum of 30 days notice, guests will be released from the remainder of their reservation without any additional charges.
  3. Less Than 30 Days Notice for Reservation Modification:
    • If guests provide less than 30 days’ notice for reservation modification, they are still obligated to pay the next month’s rent in full.
    • This policy is in place to cover operational and administrative costs associated with sudden changes in reservations.
  4. Notice Submission for Modifications and Cancellations:
    • All modification or cancellation requests must be submitted in writing to [contact email/phone number]. The notice period is calculated from the date the request is received.
  5. Exceptions:
    • Exceptions to this policy may be considered on a case-by-case basis in situations of unforeseen emergencies or extenuating circumstances.

By making a reservation with Bits Property Rentals, guests acknowledge and agree to abide by this Reservation Modification and Cancellation Policy.

RESERVATION TERMS & CONDITIONS

* Please note, there may still be charges associated with modifying your booking/reservation within the 28-day period of your original booking/reservation. 

  • Although we take great care in how we present our accommodations online, we do not make any particular representation as to the suitability of our accommodation to your specific requirements. Should you have any specific concerns relating to hygiene, health and safety practices, or the quality of our services, or if you would like to check the specific conditions of stay, please contact us directly BEFORE the noted cancellation deadline, and we will do our best to address these.
  • Other than for death or personal injury caused by our negligence or fraudulent misrepresentation, our total liability to you is limited to the price of the reservation, and in no circumstances will we be responsible for any indirect or special damages. We will not be liable to you where we have exercised reasonable care and skill in our provision of the selected accommodation services to you. We will not be liable for failure to perform to the extent that the failure is caused by any factors beyond our reasonable control, including the provision of said accommodation services. We, therefore, advise that you take out the appropriate travel insurance coverage.
  • A valid credit card is required to guarantee your reservation and remains on file. Credit cards will be charged for the first 30 nights upon booking.
  • An Exit Cleaning Fee of $80.00 will be charged upon booking your reservation. This fee is used to clean the room following your check out and is non-refundable.
  • A refundable security deposit of $200 will be charged upon booking. This deposit serves to cover any potential fees or damages that may occur during your stay at BITS rentals. If, by the conclusion of your stay, you have not incurred any fees or damages, the $200 deposit will be refunded to the original form of payment within 7 business days. If damages or fees are assessed, you will receive an itemized list outlining the damages and the corresponding costs for repair. Deductions for any fees or damages will be made before returning the deposit.

  • All prices are subject to 7% sales tax and 6% tourist tax.
  • Once your 30 nights has depleted, you will be charged on the 1st of each month for that months rent. In the case your reservation started after the 1st of the month, once your paid 30 days has depleted, on the 1st of the following month you will be charged prorated rent for the amount of days you occupied the unit.
  • If your credit card on file is declined for any reason after your check-in date, you will be notified by BITS via email and will have a 48-hour grace period to rectify the payment issue. If the 48-hour grace period passes and payment has not been rectified, BITS will notify you by call and email and access a $200 manual processing fee to your total amount due.  If an additional 24 hours passes after the original grace period, and payment has still not been made, we will cancel your reservation, notify you, and you will have till the end of the day, 5:00pm, to leave the premises. No previous payments will be refunded.

CHECK IN POLICIES

  • If you are bringing a vehicle, you must notify BITS via email at  bitsrentals@gmail.com1 week in advance of your check in date. This will allow us to send you the proper information in your welcome email. Tenant Parking is an amenity for all reservations. If an un-registered vehicle is reported to or observed by BITS, it will be towed immediately.
  • You will receive a welcome email at the start of your reservation. This email will include your room number, your parking spot (if applicable) and instructions to access the property.

HOUSE RULES

*Bits Rentals reserves the right to enter the property and check the common areas at our discretion.

  • The Guest agrees not to make any modifications, alterations, or additions to the rented premises, including but not limited to the room, floors, walls, or any other part of the property. This includes, but is not limited to, mounting TVs, installing hooks, nails, or any other fixtures that may cause damage to the property. Any such modifications, alterations, or additions without explicit written consent from the property owner or management are strictly prohibited.

    Guests are responsible for returning the property in the same condition as it was at the beginning of the rental period, excluding normal wear and tear. Any damages resulting from unauthorized modifications will be subject to repair charges, and the Guest may be held financially liable for the cost of restoration.

  • It is EXPECTED all tenants keep the common areas clean at all times; trash taken out to the trash cans outside, dishes cleaned and put away, floors clear and clean, all furniture in correct locations, laundry rooms clear and clean. If it is reported to BITS or observed by BITS that this is not being followed; first violation, all tenants will be given a warning via email. Second violation, all tenants will be charged a $100 violation fee. Third violation, we will cancel the remainder of all tenant’s reservation.
  • Kitchen Policy: While staying at our property, you must label all items in the kitchen and fridge with your name. Food/items in the kitchen that are not labeled will be thrown away bi-weekly on Mondays when the living and kitchen area is cleaned. Before you check-out, all items in the kitchen that are yours must be thrown away. If we find items in the kitchen with your name after checkout, you will be charged you an additional $20 cleaning fee. This is to prevent food being left in the fridge and stacking up over time from past tenants who fail to throw away their items.
  • Washer and dryer are common use property, therefore; be respectful to start and finish a load so all tenants can complete their laundry in a timely manner. If it is reported to us or we find that this is not being followed; first violation, you will be given a warning via email. Second violation, you will be charged a $50 inconvenience fee. Third violation, we will cancel the remainder of your reservation.
  • Respect others property,which includes BITS’ property and other tenants’ property. Do not touch or borrow without consent. If it is reported to us or we find that this is not being followed; first violation, you will be given a warning via email. Second violation, you will be charged a $100 inconvenience fee. Third violation, we will cancel the remainder of your reservation.
  • To better accommodate future and current tenants smoking is not allowed in the unit. A $250 cleaning fee will be charged to the tenants account should smoking occur in the unit. However, smoking is permitted on the outside porch areas.
  • Prices are based on single occupancy. If you choose to have1 additional guest; you must register your guest to BITS 24 hours in advance of your guest staying. A $25 dollar charge per night per guest will be accessed to your bill. This property is for tenants only. Any sort of violation to this policy, you will be charged $100 per night per guest once discovered and could lead to a termination of your reservation.
  • Parking is an amenity for TENANTS ONLY. Guests need to find alternative parking. If an un-registered vehicle is reported to or observed by BITS, it will be towed immediately.
  • You are responsible for any damage or loss caused by you during your stay with us, including any damage to our property by your act, omission, default, or neglect and you agree to indemnify us, and you agree to pay us on demand the amount reasonably required to make good or remedy any such damage or loss. Further, we reserve the right to terminate your reservation immediately without being liable for any refund or compensation where you engage in unacceptable behavior that causes a significant disturbance or nuisance to our staff or to other tenants on our premises.
  • If you experience a maintenance related emergency, call us at 561-654-4400 immediately. *Maintenance emergencies include AC completely not working when it’s over 90 degrees out or an active water leak*. All other issues, please call or email us Monday – Friday, and we will get back to you within 24-48 hours. 

CHECK OUT POLICIES

  • Before check-out, shut and lock the bedroom door.
  • Leave BITS provided sheets and blankets on the bed and towels in the bathroom when you checkout. If its reported or observed by BITS that our sheets, blankets, and towels were found outside of your assigned room you will be charged an additional $20 cleaning fee. If it is reported or observed by BITS rentals that our provided sheets, blankets, and towels are missing, you will be charged $150 replacement fee.
  • Before checking out, it is your responsibility to clean out all personal items from your assigned room, your bathroom, common spaces, the kitchen, and anywhere else on the premises. If we find items on the premises that belong to you after checkout, you will be charged an additional $20 cleaning fee.
  • From time-to-time tenants request to extend their stay due to weather. We will do everything we can to accommodate your request however this cannot be guaranteed unless secured in advance.
  • Late check-out: Registered tenants may request a late check-out for an additional $20 after 11 AM for up to three additional hours, and such requests will be granted whenever possible.  As a small, boutique property, we pride ourselves on taking the time to fully prepare for each new arrival; therefore, any room still occupied after 2 PM will be charged one additional night’s stay.
